Job Summary:
The client is looking for an Admin Officer to support their Supply Chain Management (SCM) team in the planning and execution of new events. This role involves key administrative functions, including procurement, drafting event-specific RFQs, and managing correspondence with both internal teams and external vendors. As part of the project management team, you will be responsible for ensuring smooth coordination across departments and suppliers,
while providing critical SCM support throughout the event lifecycle.
Key Skills & Experience:
- Strong communication and organizational skills
- Computer literacy with proficiency in MS Office
- Minimum of 3 years of relevant experience in events management
- Ability to handle multiple stakeholders, including vendors, cross-functional teams, and sponsors
- Experience in drafting specifications for RFQs and following up on procurement processes
- Quick understanding of all stages of event planning, including follow-ups and administrative support
Responsibilities:
- Assist the Head of Events Logistics with planning and managing events
- Support Supply Chain Management (SCM) by coordinating event logistics with internal teams and external vendors
- Draft specifications for event-specific RFQs and manage procurement processes
- Provide SCM support services for projects, ensuring smooth execution from planning to completion
- Maintain correspondence with suppliers, and cross-functional teams to ensure timely updates and execution of plans
- Participate in discussions on event needs and provide updates on SCM plans
- Follow up on RFQs, PO numbers, financial footnotes, and related documentation
- Assist with scoring RFQ documents to ensure compliance

Qualifications:
- Minimum qualification: NQF Level 5
- Minimum 3 years of relevant experience in events management
