We require the services of a presentable, strong administrative Commercial Property Administrator, with the ability to effectively communicae verbally as well as in writing to our clients, colleagues and other related third parties.

- Assisting Portfolio Managers with day-to-day tasks, filing and administration, as required.
- Dealing with tenants / owners / caretakers and contractors, as required.
- Handle daily telephone queries, including calls and messages on the Commercial cell phone.
- Take responsibility for the Commercial cell phone after hours on a rotational basis.
- Preparation of daily payments and assisting with resolving queries on payments.
- Monthly and ad-hoc sending of all owner statements and invoices.






- Communication with other departments to address any queries or concerns.
- Attending to all maintenance queries on the portfolios with the Facilities Management department.
- Obtaining, co-ordinating and submission of all quotations to owners.
- Liaise and co-ordinate with insurance companies, register claims and follow up on quotes.
- Arranging appointments with the building inspectors, as and when required.
- Distribution of letters.
- Attending meetings with contractors / owners / Portfolio Managers / Credit Controllers.
- Assisting and meeting all potential tenants for vacancies and co-ordinating and submitting application forms.
- Submitting the application pack with the TPN credit checks to the Portfolio Managers to review.
- Arranging owner payments as instructed by the Portfolio Manager.
- Capturing of monthly tenant billings.
- Attending to annual assessment rates increments on the tenant's accounts.
- Obtaining and coordinating all monthly billings with the utility manament companies.
- Sending Tenant Statements.
- Document,





manage and arrange the services of fire equipment, fat traps, canopies, lifts, etc.
- Assisting building workers with leave application forms and submissions, including submitting these documents to the payroll division.
- Ensure that all building employees have signed agreements which is also submitted to the payroll division.
- Ordering and coordinating all cleaning material, equipment, overalls, etc for the buildings.
- Updating of the vacancy schedule and arranging and co-ordinating the marketing of the premises.
- Continious updating and correction (if required) of current MRI database, ensuring all information and documentation linked to a specific building nad / or tenant is correct and up to date.






- Compiling Memorandum of Agreements and submitting it to Portfolio Managers to finalise.
- Requesting, co-ordinating and filing of all land use compliance documentation (i.e. zoning certificates, occupation certificates, approved plans, title deeds, etc).
- Coordinating Building Condition Assessments and Site Visit reports including saving these on the server and submission to the owners.
- Arranging repairs or maintenance resulting from the Building Condition Assessments and Site Visit reports.
- Informing the utility management companies of any changes in tenancies.
- Record keeping and handling of the key cabinets.
- Any other duties and requirements, as needed withing capability.

- Experience in a previous administrative environment.
- Computer literate (Outlook, Word, Excel, etc).
- Knowledge of MRI / MDA will be advantageous.






- Figure orientated will be advantageous.
- Good verbal and written communication skills.
- Bilingual (written and spoken).
- Immaculate telephone etiquette.
- Code 08 Driving Licence.
- Well organized, self-started, motivated and good work ethic.
- Strong administrative and computer skills.
- Excellent interpersonal skills.
- Ability to multitask and prioritize.
- Good and professional manner with clients.
- Service orientated.
- The ability to work well under pressure and adhere to deadlines.
- Team player.
- Self-motivated.
- Responsibility and accountability for work and driving ethics.

Annual CTC between R174 000 - R192 000
