Introduction

Rallim Modern Learning Environment, an exciting new private school situated on Berkshire Boulevard,

Sunningdale, in the Western Cape, is seeking to employ a Temporary Receptionist/ ADHOC to join a talented and creative community from 01 January 2025 . First preference will be given to candidates based in Cape Town.

Job Title: Temporary Receptionist/ ADHOC

Purpose of the Role

The Receptionist plays a critical role as the first point of contact for the school, ensuring smooth daily operations while supporting the school’s academic and operational functions. This position requires professionalism, excellent communication skills, and the ability to manage multiple responsibilities efficiently.

Operational Responsibilities

1. Front Desk Management

- Welcome and assist all visitors, including parents, vendors, and service providers.
- Always maintain a friendly and professional demeanour, ensuring all guests feel welcomed and directed appropriately.

2. Communication & Call Management

- Answer and route all incoming calls promptly to relevant departments or staff members.
- Manage phone queries from parents, suppliers, and stakeholders with professionalism and efficiency.
- Take messages accurately and ensure timely follow-up.

3. Student Check-out and Attendance Management

- Manage the sign-out process for students leaving early, ensuring all policies are followed.
- Liaise with parents regarding student attendance, early pickups, and other logistical matters.
- Keep updated records of early departures and provide reports to relevant staff when required.

4. Emergency Response & First Aid

- Contact parents in the event of student emergencies or accidents.






- Assist with administering basic First Aid when necessary and ensure that the appropriate staff are notified for more serious incidents.

5. Vendor, Delivery, and Service Provider Coordination

- Receive and sign for goods, deliveries, and packages on behalf of the school.
- Coordinate with service providers and vendors for scheduled maintenance or services.
- Ensure vendors comply with the school’s visitor policies and direct them to the appropriate departments or personnel.

6. Reception Area Management

- Maintain a clean, organized, and welcoming reception area.
- Ensure all school brochures, forms, and documents at the front desk are up to date and readily available.

Academic Support Responsibilities

1. Teacher and Student Assistance







- Provide occasional administrative assistance to teachers, such as distributing memos or classroom materials.
- Support in coordinating student-related events and programs, including sports or extracurricular activities.

- Relay important messages from parents to teachers, such as transportation changes or after-school activity updates.

Qualifications and Experience:

Key Skills and Competencies

- Excellent interpersonal and communication skills.
- Strong organizational abilities with the capacity to multitask.
- High level of professionalism and discretion in handling sensitive information.
- Ability to stay calm and handle emergencies efficiently.
- Basic knowledge of First Aid (certification is a plus).
- Competency in Microsoft Office and basic office equipment.







Qualifications and Experience

- Previous experience in a receptionist or administrative role, preferably within a school or similar environment.
- High school diploma or equivalent qualification.
- First Aid certification or willingness to obtain one.

Working Hours

- Monday to Friday:7h00 – 16h00(staggered and rotational)

:8h00 – 17h00 (staggered and rotational)

- Occasional attendance at school events outside regular working hours may be required.
