Introduction
A reputable company is urgently seeking a Property Portfolio Administrator to join their dynamic team in the Ballito area .
Duties & Responsibilities
- Sales & Marketing –Market and listing all vacant commercial/ residential and holiday letting properties
- Research – conduct research on properties
- Vet all potential tenants and ensure that all FICA documents are verified and submitted
- Lease agreements - Working with the legal department , agents, and other professionals in the preparation and finalisation of all Lease. Ensuring that there are renewed.
- Rentals - To manage all administration related to letting/leasing/renting of all property
- Invoicing - Ensure that invoicing is done for all properties monthly
- Repairs & Maintenance Schedules - Management of all properties including organising day-to-day repairs , maintenance, or security, negotiating leases and contracts
- Payments - Monitor contractors’ invoices versus set budget .
- Prepare requisitions on BS
- Utilities - Ensure that all utilities for all properties are monitored and paid timeously
- Income & Expenditure - Ensure that all income and expenses and capital expenditure are managed, recorded and reported against set budgets
- Property Access - To ensure that access is afforded to all properties as required for reading of public utility meters, inspections , statutory authorities, and insurance company representatives as required.
- Compliance - Ensure and Enforce Compliance in line with Property Management requirements
- Administration - Maintain all records of the company properties
- Meetings - To attend regular meetings as directed by management .

Skills Required
- Good communications skills (verbal & written)
- Proven administrative and organisational skills
- Confidence (liaising with various clients/stakeholders)
- Ability to plan and manage priorities
- Ability to respond quickly, effectively, and flexibly
- Able to work on own initiative
- Ability to give and take direction and to interface with decision makers in a professional manner and maintain confidential information
- Proven record of providing excellent internal and external customer service
Experience & Additional Requirements
- +5 years working experience in a Property Management
- Qualification in Property Management/ Office Management or any relevant qualification
- Drivers Licence
- Willing to travel
- Available immediately
