Responsibilities:
- Payroll Processing:
- Process weekly, bi-weekly, or monthly payroll for all employees, ensuring accurate calculation of wages, overtime, bonuses, and deductions.
- Ensure payroll is submitted and processed according to company schedules.
- Handle off-cycle payments, such as terminations or bonus payments, as needed.
- Tax Compliance:
- Ensure compliance with federal, state, and local payroll laws and tax regulations.
- Calculate and process payroll taxes, including social security, unemployment, and income tax.
- Prepare and file payroll tax reports (e.g., quarterly and annual returns).
- Issue and maintain accurate records for employee tax documents, such as W-2s and 1099s.
- Benefits & Deductions:
- Administer payroll deductions, including healthcare benefits, pension plans, garnishments, and other deductions.
- Collaborate with the HR department to ensure benefits and contributions are correctly applied in payroll.
- Record Keeping & Audits:
- Maintain and update payroll records, including timesheets, wage adjustments, tax documents, and other payroll-related data.
- Conduct periodic audits of payroll records to ensure compliance and accuracy.
- Assist in preparing data for internal and external audits, including year-end payroll audits.
- Payroll Systems Management:
- Manage the payroll software system (e.g., ADP, Paychex, Workday) and ensure accurate data entry for new hires, terminations, promotions, and salary changes.
- Troubleshoot payroll system issues and collaborate with software providers to resolve technical problems.
- Employee Queries:
- Serve as the primary point of contact for employee payroll-related questions, resolving discrepancies, and providing payroll statements when requested.
- Address and resolve issues related to timekeeping, deductions, and salary calculations.
- Reporting:
- Generate payroll reports for management, HR, and finance teams, providing insights into labor costs, overtime, and payroll expenses.
- Assist in preparing reports required for compliance purposes, including those related to tax, labor, and audit requirements.
Requirements:
- Bachelor's degree in Accounting, Finance, Human Resources, or a related field (preferred).
- Proven experience of 3-5 years as a Payroll Specialist or similar role.
- Experience working with payroll systems (e.g., ADP, Paychex, SAP, Workday) is essential.
