An exciting opportunity has become available within the medical devices industry, for an Office Manager in a part-time or full-time capacity. The position is based in Cape Town
REQUIREMENTS:
- Minimum NQF 5 qualification in related fields (i.e. Business Studies) or equivalent
- 5+ years' experience in a similar role
- Proficient computer skills (MS Office Suite)
- Excellent verbal and written communication skills
- Organising and planning skills
- Bookkeeping/ financial experience
- Problem solver; flexible; organized; multi-tasking; patience; working under pressure; takes initiative
- Good interpersonal skills to work with management and staff at all levels
RESPONSIBILITIES:
- Provide professional,
comprehensive information to the organization and to oversee the administrative function of the company
- Responsible for all functions relating to the general administration; efficient control over non-financial assets; the management of assets; management of IT
- Function as company secretary
- General Administration
- Finance Support
- Draw up purchase orders
- Track purchase orders, deliveries, invoicing
- Provide summaries of financials both retrospectively (actual) and prospectively (budgeted)
- Assist in processing payments
- Feedback to Finance regarding completion of work & subsequent invoicing
- Manage company claims
- Shipping
- Liaise with courier companies
- Liaise with suppliers
- Liaise with customs to manage international shipments
- Office Management
- Maintaining office look and feel
- General office maintenance - communicate with landlord and maintenance
- Liaise with contractors where necessary
- Supporting the team where possible
- Order office supplies - stationary/snacks/coffee/tea/milk
- Manage cleaning services
- Other
- Coordinate all travel requirements for consultants (local & international travel
- Assist with HR
- Liaise with security with requests and challenges
- Assist with lab work and other deadlines when needed
- Assist with travel arrangements (local and international) as necessary
- Other ad hoc support tasks
